Every month on after capturing the monthly count, we send an update to EBSCO Discovery Service (EDS) of the items and collections in Acumen. EBSCO uses the Open Archives Initiative (OAI) protocol to harvest the records (and links) for our digitized items for search and retrieval in the UALIB Scout search interface.
The form this report takes is tab delimited text with 5 columns: "Coll ID", "Facet_Display", "Full_Display", "Limiter_group" and "Item_Count".
The first column contains the collection identifiers (sorted), such as "u0001_2007001" (without quotes). The second column contains all or most of the collection title; if the title is long, it's been shortened for display purposes in facets (as a general rule, to less than 40 characters). The third column contains the full title of the collection. The Limiter group is based on format, determined by the 4 digits following the first character in the collection identifier; for example, any collection identifier starting with "u0001" will be in "Image Collections" limiter group; so would any collection in "n0001" or "p0001", etc. Other limiter groups include "Manuscript Collections", "Rare Book and Text Collections", "Audio Collections", "Sheet Music Collections", "Map Collections", "Graphics Collections" and "Student Research". If other types of collections are added to Acumen, then other types of limiter groups need to be added to the script, with corresponding Holder ID numbers.
To capture the update, log in to libcontent server and navigate to /srv/scripts/stats/ . Check the output directory to ensure it contains an AcumenCollCount file with appended date for the first day of the current month; and also locate the DigitalCollectionsForEbsco file with appended date for the beginning of the previous month. You will need to specify the names of these two files on the commandline.
Next, run the perl script "EDSupdate" and type in the names of both of the above files on the same line before hitting enter.
The script will output some information to the command line. Look for any error messages (correct the problem if there are any, then rerun); if no error messages, look for output that indicates a change in the number of items for a collection, or the addition of a collection, for example:

Cut and paste this information into an email, preceded by "This month's changes in Acumen for Digital Services:" and then follow the cut/paste with "Please see attached for the full report."
Look in the output file for the DigitalCollectionsForEbsco file with appended date for today. Review the file to ensure there's no blanks (which may be caused by an oversight of the script, a server failure, new types of material added, or a failure of correct input into the database). Transfer this file to your desktop and attach to the above email.
Address the above email to the EBSCO Discovery Interface administrator, and CC the head of Digital Services. Use "EDS Update for Digital Services" as a subject header, and send.
