6 and 12 Month Goals for Digital Services

November 2014 through April 2015

Production:

  1. Digitize Hoole and/or Williams Special Collections materials at an average rate of 3,000 captures per month or better
  2. Complete ROTC scrapbooks and Jemison letterbook items
  3. Digitize new audio materials (if available)

Progress:

  • At the end of March we had averaged over 4900 captures per month during this period.
  • The ROTC scrapbooks were completed in January.
  • The Digitization Technologist began digitizing Hilaritas, part of the Alabama Reel-to-Reel collection.
  • Progress is being made on the Jemison content. The items have been separated out of 3 of the books and prepared for upload. Some of the books required rescanning, and some pages were missing from the original captures, which complicated issues. We will continue this goal over the next 6 months.


Improved access and usability:

  1. Identify methods of browsing “metadata triples” via the web that are useful for patrons
  2. Expand faceting support software to incorporate genres and genre categories as defined by metadata librarians, and shift processing to the point of MODS upload
  3. Begin 2nd Innovation Grant Project on 3D digitization process

Progress:

  • For the Innovation Grant, equipment was purchased for grant project and assembled. Camera software automation development is underway.
  • MODS faceting has been shifted to directly after upload, and is followed by depositing for archiving
  • We have iteratively improved the hierarchicalGeographic facets and modified the delivery XSL to support them, and await approval from metadata librarians before production implementation.
  • We have clarified the workflow and specifications for genre and topical faceting, and await the spreadsheets from the metadata librarians which indicate categories and subcategories for each genre/topic, in order to implement. We will continue this goal over the next 6 months.
  • We have been unable to locate any available triples or RDF browsers that would provide the usability we desire for patrons. Since this project will thus likely require dedicated programmer time for delivery, we have postponed further development. This impacts one of the goals for the next six months, which will be dropped, as we can't take this further at this time.

Preservation and long-term access:

  1. Identify the technical metadata we can and should extract from audio, and which technical metadata we need to supply.
  2. Develop processes and methods to capture and store tags and transcriptions from Acumen to the archive
  3. Develop and test processes for packaging digital content for long-term dark storage

Progress:

  • Developed and automated the extraction and storing of tags and transcriptions, in preparation for archiving.
  • We have analyzed available and desired technical metadata for audio and are drafting a profile and methods for extraction/creation.
  • We have identified use of BagIt as the simplest solution, and the one currently in use by the Digital Preservation Network.


Training and Development:

  1. Continue to train staff in software development/support, digitization, and infrastructure
  2. Regularly review workflows and processes to implement continuous improvement

Progress:

  • Head meets twice weekly each with Repository Manager and Digitization Technologist to train on software development and support
  • Head developed list of training topics and asked staff to indicate areas of interest
  • Head offers weekly training on infrastructure, and is documenting workflows and processes.
  • Tuesdays the Digitization Manager trains all staff on new/different aspects of digitization
  • Identified potential improvement in archiving scripts by combining processes, and began implementation. Tagging, transcriptions, ETDs, MODS and EAD archiving has been combined with content archiving.


Cross-Departmental Collaboration:

  1. Continue to work with the metadata unit and programmer to improve Acumen access and usability

Progress:

  • DS staff meet monthly with metadata unit to discuss progress and coordinate
  • Indexing meeting was held in February to report progress and share remaining concerns.
  • Worked cross-departmentally to select and implement synonyms for WWI and WW2 to improve search and retrieval on those topics
  • Analyzed EAD linking problems and divided results into content that needs to be addressed by different units
  • After box/folder values were changed in the EADs by archivists, included them in this collaborative effort to ensure continued linkability of digitized items.

Outreach

  1. Continue to publicize digitized materials and digitization initiatives on the blog and in social media outlets, and invite users to tag or transcribe specific content
  2. Offer open house tours to library faculty and staff, to educate and improve cross-departmental relations and collaborations
  3. Continue creating and presenting a digital exhibit quarterly

Progress:

  • Blog post created weekly, one specifically on tagging
  • Twitter bursts set once-twice a week
  • Instructional videos developed for Acumen
  • Quarterly exhibits created by Outreach Coordinator

May 2015 through October 2015

Due to a reduction in staff, this has been edited.

Production:

  1. Interview, hire, and train two new staff members.
  2. Complete Jemison letterbook items (this goal is carried forward from previous 6 months)

Improved access and usability:

  1. Complete 2nd Innovation Grant Project on 3D digitization

Preservation and long-term access:

  1. Implement extraction and capture of audio technical metadata and automate the process as much as possible.
  2. Implement improved backup system and geographically distant duplication for digital archive

Training and development:

  1. Continue to train staff in software development/support, digitization, and infrastructure
  2. Regularly review workflows and processes to implement continuous improvement

Cross-Departmental Collaboration:

  1. Continue to work with the metadata unit and programmer to improve Acumen access and usability
